Dropbox Photo Sharing Policy


SportNE runs a DropBox Photo Sharing system. During each week of camp, photos are taken of children during activities to be shared with parents / guardians at the end of the week. This is shared via a Dropbox link sent through email.




  • We believe this is a great way for parents / guardians to see what the children have been doing throughout the week.
  • We do not take photos of any children without already having the consent to do so from the child’s parent / guardian.
  • Parents / guardians reserve the right to remove their consent at any time.




The purpose of this policy statement is to:

  • Protect children and young people who take part in SportNE Camps
  • To clarify the principles that guide our approach to photographs being taken of children during our camps,
  • To ensure we operate in line with our values and within the law when taking, using and sharing images of children.


The policy statement applies to all staff and other adults associated with SportNE.


This policy has been produced in line with the NSPCC child protection and safeguarding legislation, policy and guidance that seeks to protect children in England.


We recognise that:

  • Sharing photographs of our activities can help us celebrate the success and achievement of our children, provide a record of activities and allow parents a great insight to their children’s time at SportNE
  • The welfare of the children and young people taking part in our activities is paramount
  • All children, parents and carers have a right to decide wether images are taken and how they may be used
  • Consent to take images of children is only meaningful when children, parents and carers understand how the images will be used or stored and are aware of any risks associated with this.


We will seek to keep children safe by:

  • Always receiving consent from parents or carers before taking and using a child’s image
  • Always making parents aware of photographs being taken and what they are used for
  • Never using children’s names in any photos published on our website or any other format
  • Making sure parents and carers understand how the images of children are stored and for how long (we delete all camp photos 5 weeks after camp has ended)
  • Using images that positively reflect children’s involvement in the camp activities.


Photography and filming for personal use

We do not allow any children or parents to take photographs or videos when on site at SportNE. If a parent / carer wishes to take any footage of their own child, this must be done out of the building and ensure that no other children are featured in the background of the footage.
